CA PPM Implementations

Implementing a Project and Portfolio Management system can be a daunting task. There are so many players, so many processes, so many levers to pull… it can be overwhelming. We see too many companies try to sprint to an enterprise solution, only to fall short as they discover missing requirements, or rogue departments that have difficulty adapting. 

CA PPM is the most powerful and flexible PPM tool on the planet, and there is no other solution better suited to support the enterprise. That said, there is no need to boil the ocean. At WinMill we focus on quick deployments, quick wins. 

With that in mind, we have created three tried-and-true packaged solutions to help you to implement PPM. Speak with your account manager to determine which best fits your needs!  

Rapid Prototype Implementation 

Our Rapid Prototype implementation is ideal for clients who have a small stakeholder group, are interested in getting up and running as quickly as possible, do not need a lot of configuration or change management support, and are happy with a train-the-trainer approach for training. 

With a Rapid Prototype Implementation, we supply a pre-configured PPM environment based on the standard settings that we see across 90% of our clients. We then spend a week onsite, building a working prototype that incorporates specific client requirements. We provide train-the-trainer sessions and turn the configured environment over for a two-week extended UAT/Pilot. We make minor adjustments as needed, and then deploy to production. Using this methodology we can get a client up and running in less than a month! 

Client type: 
  • Client is unsure of the product, wants to "try it out" without a huge financial commitment 
  • Client has no bandwidth or ability to have in-depth requirements/design sessions   
What's included:
  • Pre-configured with standard configuration options, assumes 95% OOTB 
  • Bucket of hours for additional configuration • As-built document instead of full design 
  • Train-the-trainer knowledge transfer for users and an administrator 
  • No integrations 
  • Limited project management 
  • Client does all business process development and organizational change management 
  • 4+ weeks    

QuickStart Implementation 

With a WinMill PPM QuickStart, we start with a small group of users, typically one department. Using as much out-of-the-box functionality as possible and our deep store of best practices, we get clients successfully using CA PPM in just 6-12 weeks! Our QuickStart is a first phase focused on quick wins and user adoption.

We kickoff the QuickStart onsite with 3-5 days of joint architecture and design (JAD) sessions, where we determine the client's detailed requirements. We write up our findings and present them in a configuration design document. Once approved we do the configurations, build custom reports and workflows (if in scope), and do system testing. We provide train-the-trainer sessions and turn the configured environment over for UAT. We make minor adjustments as needed, and then deploy to production. A QuickStart may include train-the trainer and/or end-user training. We can deliver a QuickStart Implementation in 6-12 weeks, and most clients see it as a fast way to get ROI before moving on to additional functional or organizational rollouts in Phase 2.

Client type: 
  • Looking for quick time to value, wants a 6-12 week timeline 
  • Looking for some customization, while staying 85-90% OOTB 
  • Has bandwidth for requirements and design sessions, and can project management support 
  • Open to future phases for integrations, additional functionality, new departments, etc. 
  • Needs more support and a longer timeline than the Rapid Prototype allows 
What's Included:

  • SOW with defined scope items, rather than a bucket of hours 
  • Train-the-trainer knowledge transfer for users and an administrator 
  • End-user training materials provided, but not customized 
  • No integrations 
  • Limited project management 
  • Client does all business process development and organizational change management 
  • 6-12 weeks    

Quickstart Plus  

Our Quickstart Plus is for clients who want to get up and running quickly and see rapid ROI, but also have a need for a more configured solution, and/or the need for additional change management and training support. This type of implementation is also geared toward organizations that have more than one department or division that will be onboarded into PPM in the first phase.

Client type: 
  • Client wants rapid time to value, but has more complexity in their requirements 
  • Ability to support a longer-length implementation, including a solid core team and project management support   
What's Included:
  • Everything in a QuickStart, plus: 
  • More custom/complex implementation of financials, resource management, project management, etc. – 75-80% OOTB 
  • Custom workflows 
  • Custom reports/portlets 
  • Integration(s) - via an adaptor or custom built 
  • Additional need for organizational change management, process development and/or project management 
  • 12+ weeks
